Booking fees, balances and date changes: how photography payments work

Words by Union in Frame

Once you have chosen a photographer, the questions turn to money and timing. What does the booking fee do, when is the rest paid, and what happens if the date moves or the wedding is cancelled? The answers are in the contract, so read it before you sign.

What a booking fee actually secures

Most photographers ask for a payment on signing, called a deposit, booking fee or retainer, usually a fixed sum or a percentage of the total. The names matter: a deposit sounds like money you could get back, while a booking fee pays for holding the date and is rarely returned. Whatever it is called, the contract decides.

That payment takes your date off the market, and the photographer turns away other enquiries for it. UK consumer law expects cancellation terms to be fair, so a good contract says what is kept and why. If the wording is unclear, ask before you pay.

When the balance is usually due

The remaining balance is most often due a few weeks before the wedding. That timing clears the account before the busy final week, without asking you to pay for the work months in advance. Some studios split the total into instalments across the engagement, and a few invoice part of it after the day.

Check the exact date rather than assuming it matches the venue’s schedule. Look for what the contract says about late payment, and whether extra hours or travel agreed later are invoiced separately.

Changing the date after you have booked

Most contracts allow a postponement. Usually your booking fee moves to the new date if the photographer is free. If they are not, the fee is often lost or offered against another date, so check availability before you confirm with the venue.

Ask whether the price is held, or whether a new date is charged at current rates. A midweek wedding moving to a peak-season Saturday may cost more. Agree how many changes the contract allows and how much notice is needed, then get the new date confirmed in writing.

Cancellation terms and wedding insurance

Cancellation terms usually work on a sliding scale: the closer to the wedding, the more falls due, because the date is harder to rebook. If you booked online or by email, ask whether a cooling-off period applies; the rules exclude some date-specific services, so do not assume one.

Arrange wedding insurance as soon as you start paying suppliers. Policies typically cover a supplier failing to turn up or ceasing to trade, and some cover reshooting lost or damaged photographs. They do not cover a change of heart. Paying part by credit card can add protection if the business fails.

Contract clauses worth reading before you sign

Payment terms are only part of the contract. Look for what happens if the photographer is ill or cannot attend: a suitable replacement, a refund, or both. Check the delivery timescale and how long the gallery stays online.

Copyright in the UK normally stays with the photographer, and you receive a licence to print and share the images for personal use. If you would rather your photographs stayed out of the studio’s marketing, ask for that clause to be changed. Keep the signed contract and every receipt together.
